Stand Set-Up

In the 11th year of Silmo Istanbul Optical Fair, which will take place on 20 - 23 November 2024, it will serve a total of 25.000 m² in halls 5 - 6 - 7. In order to avoid technical problems in the new halls, the rules to be followed in stand setup and work safety are given below.

FIELD USAGE

No overflow shall be made from the floor and vertical volumes of the stand area delivered to the exhibitor to the corridor areas. No elements are exhibited in the corridors and columns outside the stand. Material as cloth posters, balloons, etc. on the stand by using the ceiling elements of the building cannot be hung. It is forbidden to pierce, cut, paint, apply fixed adhesives on all kinds of stand elements such as, to drill the floor, to use an adhesive other than double sided carpet adhesive in carpet applications.

STAND CONSTRUCTION RULES

Special stands must be installed in accordance with the project approved by the fair management. The maximum construction height to be approved for special stand projects (including floor) is 3.80 cm. (The maximum height for two-storey stands is 4.5 m.) In two-storey stand projects, it is mandatory to have static project approval and authorized signature. For any changes, it is mandatory to inform the Technical Office in the fair area and ask for approval. If special stand projects are not notified to the Technical Office within this period, the start of work in the stand area will not be authorized.

APPROVAL OF STANDS

The stand drawings prepared must be approved in writing by the organizer. The organizer has the right to intervene at any stage in unapproved projects. For the approval of the projects, the drawings, in which all dimensions of the stand are readable, 3-dimensional renderings (every angle of the stand must be shown) must be sent to info@silmoistanbul.com until the date 14.10.2024.
1.  Exhibitors in the foyer area will only be able to install modular stands on raised floors (grid) on stand floors.
2.  It is absolutely forbidden to do painting work, to use thinner and to install sheetrock stand in and around the fairgrounds.
This approval is for checking whether the above-mentioned issues are observed. Electrical, mechanical, architectural, etc. The applications are entirely the responsibility of the exhibitor.

MATERIAL STORAGE

No material should be left in hallways or other stand areas outside the stand area. Exhibitors should keep the necessary materials within the area to be shown to them by the Technical Office.

USE OF TRANSPORT VEHICLES

Material downloads of the transportation vehicles that bring material into the fair area are subject to the permission of the Technical Office. All exhibitors entering the fair area should first apply to the Technical Office and obtain an entry certificate.

HAND TOOLS AND MACHINE USE

The use of tools such as cutting machines in the fairground - welding machines, metal, marble and gypsum boards, etc. - for materials is not permitted. Such materials need to be prepared and brought outside.

AUDIO SYSTEMS

The maximum volume level allowed for the organization of demonstrations and music broadcasts, etc.  is max 70 db. In special cases, it is obligatory for the exhibitors to get written approval in advance from the fair management, and in case the sound limits are not respected, fair management has the right to intervene to the technical infrastructure and publication.

CLEANING

The cleaning of all floors except the fair corridors and special stands is provided by the fair organization. Apart from floors, stand interior cleaning works belong to the exhibitor company. Exhibitors can contact the Technical Office for extra internal cleaning services with charge. Name of the personnel who will come from outside for special booth cleaning T.R. identity number and the tax plate of the company they work for should be delivered to the security automation room.

SECURITY

The organization of the fair is not responsible for the security of the stands during the preparation of exhibitor stands, during the fair hours and during the gathering periods after the fair. Exhibitors are advised to take security measures and take out insurance during this period. General security is provided by the fair management during the off-fair hours during the days when the fair is open. Each exhibitor company is responsible for the occupational safety of its workers and employees.

HEALTH SERVICE

There will be an ambulance vehicle and first aid unit in the fair area during the fair.

TECHNICAL SERVICES

During the fair, all technical services are coordinated from the Technical Office located in the foyer area. Exhibitors; Electrical / plumbing, construction, general cleaning and post-closing work problems / requests should contact the Technical Office. Permissions are given after the closing time for the extra work to be done at the stands after the fair opens. After the closing of the fair, the name list of the personnel who will work will be submitted to the Technical Office.

STAND DISMANTLING

Exhibitors and architectural firms are obliged to deliver the stand area as empty and clean as it was first delivered to them after dismantling. It is the responsibility of the exhibitors and the subcontractors they are authorized to clean and dispose of the rubble and debris that will arise after the construction. In case rubble and debris are not taken from the area, the organizer takes photos of the ones left in the area and invoices the work done with its own subcontractor to the exhibitor company.

JOB SECURITY

Within the scope of the Occupational Health and Safety Law No. 6331, the organizer, architecture and supplier companies within the fairground and organization have important duties.
In this context, exhibitor companies, architecture companies or subcontractor companies, that will set up stands must have authorized occupational health and safety specialist personnel and the personnel who will work during the fair installation must have the necessary health report and OHS training certificates (e.g. paint, metal welding, working at height, etc.)

1.  Use flammable material, fire, fireworks, explosive material, gas tank, welding gas, kitchen stove,
2.  To make product exhibitions and demos, that do not have security measures,

3.  Employing uninsured employees,
4.  Use vehicles without damage insurance to third parties (e.g. forklift truck, crane, etc.)
5.  Not to use appropriate clothing and equipment in the stand board and all works to be performed during the fair (e.g. hard hat, gloves, dust mask, vest, steel-tipped shoes, welding mask, suction bag saws, protective glasses, etc.)
6.  Work or use of substances harmful to human health in the fair area (e.g. paint, asbestos, sandpaper, mdf & chipboard, rapid cutting without bagging, metal welding (Spot joint welding is allowed.)
7.  Leaving items such as fire cabinets, emergency doors & corridors, to block ventilation doors.
8. Unauthorized driver's license and permission; employ technician, worker, electrician, security, cleaning, stewardess, interpreter, or personnel,
9.  Fire cabinet, emergency exit doors & corridors, ventilation and related criminal procedures are applied,
10.  All exhibitors are required to park their vehicles in the lower floor parking lot and make room for the visitors.
11.  Parking cards are available in the exhibitor bags to be distributed on the opening day of the fair.
12.  Vehicles with the company logo that will be parked in front of the main entrance door of the fair will be charged extra by IFC management.
13.  The sound limit of 80db in the fair area should not be exceeded.
14.  Special electrical technicians should be available for the equipment to be present in the stand (Electrical installations and cables, fuses, distribution boards, leakage current relay).
15.  The Organizer shall deliver the stand area to the exhibitor companies as empty and clean.
16.  Exhibitor companies and solution partners; During the installation of the stand, the hallways should be used in a way that does not interfere with the operation and keep clean.
17.  Responsible for delivering the stand area clean after disassembly. Any costs and damages that may arise from the cleaning of the area are compensated in cash from the customer.
